Fiscalisation
For unattended gyms that sell memberships online — upload the company's certificate and each webshop checkout is filed and receipted automatically.
A gym that sells memberships online, with no cashier to print a receipt, still has to report each sale to the tax authority. With fiscalisation set up, Walletap files each webshop checkout under the company's certificate and emails the buyer a fiscal receipt.
Add-onBefore you start#
- You are the owner of the Walletap account.
- Stripe is connected for the company, and the webshop is selling.
- You have the company's fiscalisation certificate, issued by your tax authority's
certification body, as a
.p12or.pfxfile, and its password. - The Tax group appears under SettingsIntegrations for companies registered in a country where Walletap fiscalises sales.
What happens to a sale#
When a member pays at checkout, Walletap:
- Takes the next receipt number for the location the member bought at.
- Files the sale with the tax authority under the company's certificate, as a card payment, with the VAT split by rate.
- Builds a PDF receipt carrying the company's details, the line items, the VAT breakdown, and the identifiers and QR code the tax authority returns.
- Emails it to the address the buyer paid with, and keeps a copy. The copy appears under Invoices in the desktop app.
Fiscalisation starts with the first sale after the certificate is uploaded.
Set it up#
- Check the company's details
Go to SettingsCompanies and open the company. Fill in Legal business name, Tax ID and the address, and tick VAT registered if the company charges VAT. These details are printed on every receipt.
- Open the company's fiscalisation row
Go to SettingsIntegrations. Under Tax, open the row for the company. Its status line reads No certificate.
- Upload the certificate
Click Choose .p12 and pick the certificate file. Type its password in Certificate password and click Upload.

When it works you see Certificate uploaded and parsed. The status line changes to Valid until and the certificate's expiry date, and the row shows the company name and tax number read from the certificate.
- Label each selling location
Go to SettingsLocations, edit each location that sells, and set Business Location Label to the business premises label you registered with the tax authority. A location left blank is filed as
P1. - Try a purchase in test
With Stripe's Test environment selected, buy a plan in the webshop with one of Stripe's test cards. The sale is filed with the tax authority's test service and the receipt arrives by email. When it looks right, switch Stripe to Live.
The certificate's password is used once, to read the file, and is never stored.
Receipt numbers#
A receipt number has three parts: a running number, the location's business
premises label, and the register, for example 27/P1/1. Each location keeps its own
sequence, and the running number starts again at 1 each calendar year.
VAT#
Each membership plan carries its own VAT rate and says whether its price includes VAT. A company that is not ticked as VAT registered issues receipts with no VAT, whatever the plan says.
Download receipts and reports#
Invoices in the desktop app lists the receipts and cancellation receipts Walletap has issued, newest first, with each one's number, date and amount. The icon next to the amount shows whether the receipt was filed with the tax authority: hover it to read Fiscalized or Not fiscalized.
The pickers at the top narrow the list:
- The company picker appears when the account has more than one company. The list shows one company at a time, starting with the first alphabetically.
- The month picker starts on the latest month with receipts. Pick All months to see every month at once.
The buttons work on what the list shows:
- Download on a row saves that receipt as a PDF.
- Download All saves every receipt in the list as one combined PDF.
- Report saves an Invoice Report PDF for the period: each item sold, with its quantity, base, VAT and total. Cancellations are listed separately under Storno Receipts and subtracted in the NET TOTAL. A period with no cancellations ends in GRAND TOTAL.
Refunds and cancellations#
- A full refund in Stripe is reversed on the fiscal record automatically: Walletap files a cancellation receipt for the original sale.
- From the desktop app, open Invoices, pick the receipt and click Storno. Confirming refunds the card payment and creates the cancellation receipt in one step. It cannot be undone.
The automatic cancellation covers full refunds. For a partial refund, issue the credit note yourself.
Renew the certificate#
Certificates expire. Before the date on the status line, upload the renewed file the same way — the button reads Replace .p12 once a certificate is in place. An account that already fiscalises can replace its certificate on any plan.
If something goes wrong#
An error starting with Failed to parse PKCS#12. The password is wrong, or the
file is not the certificate bundle. Check the password and that you chose the
.p12 or .pfx file itself.
There is no Tax group. The group is shown to the account owner, for companies registered in a country where Walletap fiscalises sales. Check the company's Country code under SettingsCompanies.
A buyer received no receipt. Check that the company's certificate is in date on the status line, and that the location the member bought at belongs to that company.
